PRIVACY POLICY & DATA USE AGREEMENT
Figix LLC (“we,” “us,” or “our”) provides AI-driven data extraction and document processing services for small businesses, including CPAs, contractors, manufacturers, and other business professionals.

1. INFORMATION WE COLLECT :
We collect information necessary to process your financial documents and provide our services.
A. Account Information
• Business name
• Email address
• Payment information (when applicable)
B. Document Data: To provide our services, you upload or transmit files to us.
We process:
- Uploaded Documents: Receipts, invoices, bank statements, and other financial records provided by you.
- Extracted Data: Transaction details such as Vendor Name, Transaction Date, Total Amount, Tax Category, and Line Items.
What We Do NOT Collect:
- We do not store full credit card numbers or bank login credentials.
- We do not sell your data or your clients’ data to third parties.
- We do not use your data to train AI models or for any purpose other than providing our services.
- We do not share your data except with service providers necessary to deliver our services (e.g., OpenAI for processing).
2. HOW WE USE YOUR INFORMATION
We use the information we collect solely to:
- Process your uploaded documents
- Extract and organize financial data
- Generate reports and export files
- Communicate with you about our services
- Process payments (when applicable)
We use third-party service providers to help deliver our services:
- OpenAI (AI processing; client data is not used to train models)
- Payment processors (for billing)
These providers process data only as necessary to deliver the service
and are contractually restricted from using the data for any other purpose.
3. AI & ACCURACY DISCLAIMER
Our services utilize Artificial Intelligence (AI) and automated
processing to extract data from documents. By using our service,
you acknowledge:
No Financial Advice: Figix LLC provides data entry automation only.
We do not provide tax advice, audit representation, or certified
accounting services.
Verification Required: While we strive for high accuracy, AI can
occasionally misinterpret handwritten text, faded receipts, or
low-quality images. You (the Client) are responsible for
reviewing and verifying all output data before filing taxes or
financial reports, or any other purpose. Figix LLC is not liable for any tax penalties,
audits, or financial losses resulting from unverified data.
4. DATA SECURITY & CONFIDENTIALITY
We treat your client documents with strict confidentiality.
- Encryption: Files are encrypted in transit (SSL/TLS) and at rest where applicable.
- Access Control: Only authorized staff and our secure AI processing system have access to the documents you upload.
- Third-Party Processing: We may use secure, third-party AI processing providers (e.g., OpenAI) to process documents. These providers are contractually obligated to maintain data privacy standards.
5. DATA RETENTION & DELETION
- Retention: We retain extracted data and uploaded images only as long as necessary to complete your project and allow for your review (typically 30 days).
- Deletion: You may request the permanent deletion of your client data at any time by emailing us. Upon termination of service, all client documents are purged from our systems.
